Direction, coordination and advocacy

Leadership & coordination team

The General Coordinator chairs the coordination meetings and puts the Board’s decisions into action. You keep the record of these meetings: agendas, minutes, records of decisions and the follow-up of every commitment in Monday.

This role is for you if…

  • You like a decision to be written down, dated and followed up
  • You write quickly and accurately
  • You follow up with persistence and courtesy

Assignments

  • Prepare the agenda for each coordination meeting with the General Coordinator: items raised by lab and team leads, papers, questions that need settling
  • Send the agenda and papers to participants ahead of each meeting
  • Write the minutes and the record of decisions, which the General Coordinator approves and circulates
  • Log each decision on the tracking board in Monday’s 01 Pilotage folder: decision, owner, deadline, status. The board is for project tracking only: personal data stays in Salesforce and the site’s secure spaces
  • Follow up with owners ahead of each deadline and keep the progress of every decision up to date
  • Give the General Coordinator a status report before each meeting: decisions delivered, under way, overdue or to revisit
  • File minutes and records of decisions on SharePoint, so any member can trace a decision back to its source
  • Use the automated meeting-notes tools built by the AI Process Automation Specialist, and check every summary before it goes out

Tools to master

  • Monday: the decision tracking board, 01 Pilotage folder
  • Microsoft 365: meetings on Teams, minutes in Word, archives on SharePoint
  • Claude: first drafts of minutes and records of decisions, which you review and complete

What you will deliver

  • Agenda and minutes templates in English and French
  • An up-to-date decision tracking board in Monday
  • A status report on decisions before each coordination meeting
  • Well-ordered archives where every decision sits with its minutes

Profile we are looking for

  • Precise, fast writing that turns a discussion into clear decisions
  • Strong organisation and follow-up
  • Reliability and discretion
  • Hands-on use of a project management tool, or eagerness to learn one quickly

A volunteer role, open to young people

Every role we offer is fully voluntary. The experience we ask for can come from a course, a student project, an internship, volunteering or a personal project: every skill counts, wherever you gained it. Our roles are designed first and foremost for young people, and we weigh your motivation and potential as carefully as your track record. Want to be part of something big? Apply.

Nice to have

  • Experience of minute-taking, student societies or project management
  • Hands-on use of Monday and Microsoft 365
  • Good English and French

What this role gives you

  • A first-hand view of how an international association governs itself and takes decisions
  • Skill in tracking decisions, valued in every organisation
  • Hands-on use of Monday and AI-assisted minutes, for your CV
  • Working alongside the General Coordinator

The one-year commitment

A non-profit project is built over time. Every volunteer therefore commits for at least one year: time to settle in, carry the assignment through and pass on what they have learned. The weekly time depends on the role and is given in each role description.

How selection works

  1. Online application

You choose a role, present your background and attach your CV. A confirmation email gives you your reference.

  2. Profile review

The Talent team reads every application, matches it with the needs of the role and sends you a first reply by email within three days on average.

  3. Video interview

A conversation to get to know each other and shape the assignment together.

  4. Decision and arrival

You receive our answer by email, followed by a welcome to the team and access to its tools.
