Who processes your data
YouthShare Initiatives, a French non-profit association based in Massy, France (SIRET 988 240 750 00014), is responsible for the processing described here.
What this site collects
- Newsletter: the email address you enter and the language of the sign-up page. A confirmation email leaves at once: your subscription becomes active once you follow its link, and an address awaiting confirmation is deleted after seven days. Every issue contains an instant unsubscribe link, which deletes your address from our list.
- Messages: the content of the emails you send us.
- Submitting an analysis: if you submit a text through the submission space, your name, email, country and city, biography, LinkedIn profile if provided, your text and its sources, your portrait photo, any cover image, and your declaration of artificial intelligence tool use.
- Article comments and reactions: your first name, your comment and, if you choose, your city or country. A moderator approves each comment before it is published. To count one reaction per browser, a random identifier, created at your first reaction or report, stays in your browser’s local storage; our server keeps only a fingerprint of it, specific to each article. A pending comment is deleted after 90 days, a rejected comment after 30 days and a published comment after 24 months. Reaction counts stay in place while the article is published. If you report a comment, the reason you choose is recorded with the same browser fingerprint; the report is deleted with the comment. The team may publish the article author’s reply under a comment.
- Technical logs: our host, GitHub, records visitors’ IP addresses to keep the service secure. To limit abusive submissions, the Cloudflare Worker briefly uses a request’s IP address as a rate-limit key; the comments database holds only the information listed in this section.
Text, images and fonts are served from our own hosting, and the site measures its audience with its own tool, as anonymous totals hosted in the European Union (page views, where visits come from, country, type of device, kept for twenty-five months at most). The trackers it places in your browser, all needed for the site to work, are described in the cookie policy. The comment form loads Cloudflare Turnstile when you start writing, to filter automated comments; Cloudflare also uses these signals to improve its service. See Cloudflare’s privacy information. Your browser’s local storage serves only to remember your reactions.
Why, and on what legal basis
Your address is used exclusively to send you the news you asked for (legal basis: your consent) or to reply to your messages (legal basis: our legitimate interest in answering you). It stays reserved for YouthShare Initiatives’ own use.
You choose to submit a comment and confirm, by ticking the box, that it may be shown publicly with your first name and, if provided, your city or country, after moderation. Reactions are recorded when you choose them. Legal basis: your consent, which you withdraw by asking [email protected] to remove your comment or reaction. Cloudflare processes the Worker requests needed to check and publish comments.
How long
Newsletter: until you unsubscribe. Messages: three years after the last exchange. For comments and reactions, see the periods listed under “What this site collects”. Technical logs follow GitHub’s and Cloudflare’s retention policies.
Where your data is stored
In the association’s mailbox. Comments, reactions and the newsletter subscriber list are stored in Cloudflare D1, in the European Union jurisdiction; Cloudflare also processes Worker requests, sends the newsletter emails and provides the Turnstile spam check. The site’s technical logs are kept by GitHub, Inc. in the United States, under the EU–US Data Privacy Framework. See GitHub’s privacy statement and Cloudflare’s privacy information.
Submitting an analysis
Files submitted through the submission space are used for editorial review: artificial intelligence, plagiarism and source checks, reading by the editorial board and, if the text is accepted, publication with your name, biography and photo (legal basis: your consent, given when you submit). They are stored with Cloudflare, in a storage space located in the European Union, and only members of the editorial board can access them. A rejected file is deleted twelve months after the board’s decision; a published text stays online until you ask for it to be withdrawn. During the review, you receive an email at each stage of your file, and you can check it in Track my submission with your reference and email address; our tracking database keeps only an encrypted fingerprint of that address. Editorial board members access files through a personal, password-protected account. For any question about a file, or to request its deletion: [email protected].
Applying for a volunteer role
Applications sent from the Apply page are used to recruit the team’s volunteers (legal basis: your consent, given when you apply). They include your name, email, country and city, LinkedIn profile if provided, languages, availability, motivation, experience and documents (CV, letter). They are stored with Cloudflare, in a storage space located in the European Union, and only the Talent team, the association’s administrators and the leads of the lab or team concerned can access them, through a personal, protected account. A closed or withdrawn application is deleted twelve months after the decision; an accepted application, twenty-four months after. You can follow every stage in Follow my application with your reference and email address, and withdraw your application there at any time. For any question or deletion request: [email protected].
From each role page, you can recommend the role to a friend. The address you enter is used only to send them an email that presents the role, with the name you give (legal basis: the association’s legitimate interest in making its roles known; you confirm that your friend knows you and will be glad to receive this role). Our system keeps an encrypted fingerprint of that address for 24 hours, to limit repeated sends, and then deletes it.
Partnership proposals
Proposals sent from the Partnerships page are used to study the collaboration you propose and to reply to you (legal basis: your consent, given when you send it). They include your organisation’s name, profile, country and website, the formats and labs you have in mind, your message, your first name, last name, role and email and, if you provide it, your phone number. The partnerships team receives them by email. They stay in the site’s database for twenty-four months, then are deleted.
How the association follows its relationships
To follow its relationships with authors, applicants, newsletter subscribers and partners, the association uses Salesforce Nonprofit Cloud (Salesforce, Inc.), hosted in the European Union. It holds your name, email, country and city, your roles with the association, the stage of your submission or application and, for partners, the information in the proposal. Documents (texts, CVs, motivation statements) stay in the site’s spaces. Legal basis: the association’s legitimate interest in following its relationships. The site’s retention periods also apply to Salesforce: when the site deletes a submission, an application or a subscription, the matching information leaves Salesforce within ten minutes.
AKILI, the knowledge companion
Questions asked to AKILI are used only to answer you (legal basis: the association’s legitimate interest in making its publications known). The site’s service, hosted by Cloudflare, looks for useful passages in our public pages, then sends your question and those passages to Anthropic, PBC (United States), which writes the answer with its Claude model; Anthropic processes this data on the association’s behalf under its commercial terms, which exclude using it to train its models. To complete an answer, AKILI may also consult the websites of international organisations and public institutes. For each month, the association keeps only the number of questions, the cost of the service and the number of answers rated helpful or to be improved. The current conversation stays in your browser for the length of your visit. Keep your questions general: AKILI is for exploring ideas and publications.
From AKILI, you can write to the team. Your name, email, message, the page you were reading and, if you choose, the conversation with AKILI are used to reply to you (legal basis: your consent, given when you send it). The team receives them by email and you receive an acknowledgement with your reference. These messages stay in the site’s database, hosted by Cloudflare in the European Union, for twelve months, then are deleted.
To improve AKILI, the association keeps anonymous daily totals: next steps offered after an answer and those followed, offers of help shown, opened or closed. For the length of your visit, your browser keeps the questions already suggested, to present new ones; for seven days, it keeps the closing of an offer of help, to respect that choice.
AKILI for the team
Members of the editorial board and the Talent team have AKILI in their workspace. When a member asks, and only then, AKILI reads a submitted text or an application to prepare a summary, a reading against the board’s grid, questions, a draft message or a comparison with the role description. The association’s service then sends the text concerned to Anthropic, PBC (United States), which writes the answer with its Claude model; Anthropic processes this data on the association’s behalf under its commercial terms, which exclude using it to train its models. Before this transfer, names, email addresses, phone numbers and personal details in a form or a text CV are masked. Legal basis: the association’s legitimate interest in reviewing the texts and applications it receives with care.
AKILI prepares the work; decisions always rest with the people on the board and in the Talent team. For an application, AKILI quotes the parts of your file that relate to each requirement of the role and flags what deserves a conversation at interview: it produces observations; marking, ranking or recommending whether to select a person stays outside its role. The service keeps only usage figures (date, type of request, cost), and for each submitted text a fingerprint and its most frequent words, used to spot duplicates and suggest readers; this data goes with the file. You can ask for AKILI to stay away from your file by writing to [email protected].
