AI in service of the mission
Artificial intelligence team
YouthShare’s volunteers give their time: every hour counts. The AI team identifies each team’s repetitive tasks and automates them end to end, with Claude first, ChatGPT where needed, and proven automation tools.
Assignments
- Identify with each team the processes to automate: triaging applications and club requests, preparing the newsletter, meeting notes, monthly reports, social media posts
- Build each automation end to end: trigger, processing by Claude or ChatGPT, human approval, sending or archiving
- Automate meeting notes: transcription, summary, decisions and action list sent to participants
- Set up automatically fed tracking dashboards: applications, publications, events, volunteers
- Connect Microsoft 365, our forms, our spreadsheets and our publishing tools
- Monitor live automations: logs, alerts, costs, and fix incidents
- Protect personal data at every step: minimisation, access rights, retention periods
- Document every process with a diagram, a manual fallback procedure and a named owner
A typical week, at your pace
- A workshop with a team to map a process
- Building or improving an automation
- Checking logs, costs and alerts
- Updating documentation and a check-in with the AI team
Tools to master
- n8n: self-hosted automations, with the Claude and OpenAI nodes
- Power Automate: Microsoft 365 flows with Outlook, Teams, SharePoint and Forms
- Make or Zapier: quick scenarios between apps
- Anthropic and OpenAI APIs: summarising, classifying and drafting text
- Airtable or Excel online: databases and tracking dashboards
- Webhooks and JSON: data exchange between services
How we measure success
- Hours given back to the teams every month, measured
- Stable, monitored and documented automations
- Every processing of personal data compliant with the GDPR
Profile we are looking for
- Strong command of at least one automation tool: n8n, Make, Zapier or Power Automate
- Very good hands-on use of Claude and ChatGPT, including through their APIs
- Process thinking: steps, exceptions, checks
- Rigour in documentation and data protection

Applications open until 15 January 2027
YouthShare reserves the right to close this listing before that date, as soon as the right person is found. We therefore encourage you to apply now.
The one-year commitment
A non-profit project is built over time. Every volunteer therefore commits for at least one year: time to settle in, carry the assignment through and pass on what they have learned. The weekly time depends on the role and is shown on each role page.
